The portal is optional
You can continue to arrange your cleaning by phone or email. Using the portal does not change your agreed cleaning or payment arrangements, or subscribe you to promotional emails. Opting out of marketing does not cancel your cleaning.
Information we use and why
We use your name, contact details, service address, recorded property features, visits, quotes, payment records and messages to provide and administer the cleaning you request. This processing is necessary for our contract with you, or to take steps at your request before a contract. We retain financial records where required by law.
We record sign-in time, account identity and basic browser/device information to support account security and diagnose access problems. We record when property details change and whether the change was made by you or the office. Our legitimate interests are protecting customer accounts, resolving queries and keeping accurate service records. You can contact us to object to processing based on legitimate interests.
Your VIP tier is calculated from the earliest qualifying billed clean in the records available to us. It determines eligible add-on savings. It does not automatically change your existing agreed prices. If the records are incomplete, ask the office to check them.
Access and service providers
Authorised staff and providers supporting our hosting, database, email, payment and cleaning administration process information needed for those tasks. Our systems include CleanerPlanner, Supabase and Vercel. Provider processing may involve locations outside the UK; contact us for details of current recipients, processing locations and applicable transfer arrangements.
Anyone with access to your sign-in email may be able to access your portal. Do not forward sign-in links or codes. Tell the office promptly if an email address or household contact should no longer have access. Office-approved household users may see shared service records and conversations.
Cookies and the property map
The portal uses essential authentication storage to keep you signed in. If you request a sign-in email, this browser can remember the email-entry step for up to 30 minutes. Pending email-link confirmation lasts up to 10 minutes in this browser; the authentication service also controls whether the link is valid. The portal does not load the public website’s advertising or analytics tags.
The property map loads automatically when it is displayed in your account. OpenStreetMap receives your IP address and requests for the map area. Your name and messages are not sent with those map requests.
How long information is kept
The office receives a daily sign-in summary containing customer identity, sign-in times and browser/device information to monitor portal adoption and help with access queries. Sign-in records are retained for operational support and security; contact the office for details of the current retention arrangements. Customer and service records are kept while needed to provide your service and then for applicable accounting, legal claims or outstanding-query requirements. Retention depends on the record’s purpose; closing portal access does not automatically erase records we must still keep.
Marketing choices and your rights
Portal welcome emails explain account administration. Any promotional email or text requires a separate appropriate permission basis. You can reply to the office to object to marketing; you do not need to sign in or cancel your cleaning.
You can request access to or correction of your information, and request erasure, restriction or portability where applicable. You can object to legitimate-interest processing and withdraw consent for processing that relies on consent. These rights have legal exceptions. Contact the office using the details above; please do not send passwords, bank details or identity documents unless we specifically agree a secure verification method.
